LexEz Privacy Policy
LexEz is practice-management software for law firms. Firms use it to manage clients, documents, messages, calendars, time and billing, e-signatures and workers' compensation matters, through the LexEz Firm web app, the LexEz Attorney app and the LexEz Client app. This policy explains what information LexEz handles, why, and the choices you have.
Where LexEz is offered: LexEz is currently offered to law firms in Kansas and Missouri.
1. Who is responsible for your information
A law firm that uses LexEz decides what client and matter information it puts into LexEz and how it is used; for that information the firm is responsible, and We-Soft LLC processes it on the firm's behalf to provide the service. If you are a firm's client, questions about your matter should go to your firm. We-Soft LLC is responsible for account and technical information it collects to run LexEz.
2. Information LexEz handles
- Account information — names, email addresses, phone numbers, user names and sign-in records of firm staff, attorneys and clients.
- Firm and matter information — what a firm or its clients enter or upload: client intake details, documents, messages, appointments, court dates and deadlines, time and billing entries, signatures and case details.
- Device information — push-notification tokens for the mobile apps, so LexEz can notify you.
- Connected-calendar information — only if you connect a Google or Microsoft calendar; see section 4.
- Technical logs — server logs (time, action, error details) used for security and troubleshooting.
3. How LexEz uses information
To provide and secure the service: signing you in, showing your firm's information to the people your firm authorizes, sending notifications and emails you or your firm trigger, processing payments, and fixing problems. LexEz does not sell personal information, does not use it for advertising, and does not use firm or client information to train artificial-intelligence models.
4. Google and Microsoft calendar data
Connecting a calendar is optional. A firm can connect an office calendar, and each attorney can connect their own calendar in the LexEz Attorney app.
What LexEz accesses
- Google Calendar — permission to create, update and delete the events LexEz adds to your calendar
(
calendar.events), and permission to see when your calendar is busy (calendar.freebusy). - Microsoft Outlook / Microsoft 365 — permission to read and write calendar events
(
Calendars.ReadWrite) and to stay connected (offline_access).
How LexEz uses it
- LexEz copies its own appointments, court dates and deadlines into your calendar and keeps them up to date, and removes them when they are cancelled in LexEz. By default these events show only a generic title such as "LexEz: Appointment" and no client names or notes.
- LexEz reads only when you are busy, not what your other events are about, to work out the open times your firm's clients can request. Busy times are used at the moment they are read and are not stored.
- LexEz does not read, store or share the contents of your other calendar events, and does not access email, contacts or files.
Storage, sharing and deletion
- LexEz stores the access and refresh tokens that Google or Microsoft issue, plus the identifiers of the events LexEz created, in its database. They are used only by the LexEz service and are not shared with anyone.
- When you disconnect a calendar in LexEz, the stored tokens are deleted and, for Google, LexEz asks Google to revoke its access. You can also remove LexEz's access at any time at myaccount.google.com/permissions or in your Microsoft account settings.
- Events LexEz added stay in your calendar after you disconnect; you can delete them like any other event.
LexEz's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
5. Service providers
LexEz uses a small number of providers to run the service, each only for its function: cloud file storage for documents, an email-delivery service, Google Firebase for push notifications, Stripe for payments, and Google or Microsoft only when you connect a calendar. They receive only the information needed for that function. LexEz may disclose information if required by law, and will tell the affected firm where the law allows.
6. Security and confidentiality
LexEz is built for information protected by attorney–client confidentiality. Connections are encrypted (HTTPS), access is limited by firm, role and signed-in session, and staff access to firm data is limited to what is needed to support the service. No system is perfectly secure; if a breach affects a firm's information, We-Soft LLC will notify the firm promptly.
7. Retention
Firm and matter information is kept while the firm uses LexEz and for as long as the firm instructs, so the firm can meet its own record-keeping obligations. Calendar tokens are deleted on disconnect. Server logs are kept for a limited period for security and troubleshooting.
8. Your choices
You can update your profile in the apps, disconnect calendars at any time, and turn off notifications on your device. Clients should ask their firm to access, correct or delete matter information. Firm users can contact us about their account at the address below.
9. Children
LexEz is not directed to children under 13 and does not knowingly collect their information directly from them.
10. Changes
We will post changes here and update the effective date. Material changes will be communicated to firms in advance.
